What to buy or make

How the numbers are worked out

All of these are our own planning estimates, not rules from any standard, and your children may eat more or less. Pizza: slices per child by age band are 1 for ages 1 to 3, 2 for ages 4 to 6, 3 for ages 7 to 9 and 3 for ages 10 to 12, plus 2 slices per adult. A large pizza has 8 slices, so the pizza count is the slices divided by 8, rounded up. If no meal is served, no pizza is planned.

Cake: everyone gets a party-size slice. An 8 inch round serves about 12, a 9 by 13 inch sheet about 20 and a half sheet about 40, and the tool picks the smallest that covers your headcount. Cupcakes are 1 per person plus 10 percent spare, rounded up. Drinks: hours plus 1 per person, about half water and half juice. Snacks: with a meal, 2 servings per person (a serving is a small handful or a few pieces); without a meal, 3 servings per person for each hour. Plates are 2 per person, and napkins 3 per person, each with 10 percent spare, rounded up.

Worked example: 12 children aged 4 to 6 and 6 adults is 18 people. Pizza is 12 × 2 + 6 × 2 = 36 slices, and 36 ÷ 8 = 4.5, so 5 pizzas. Cake for 18 people is a 9 by 13 inch sheet. For a 2 hour party, drinks are 18 × 3 = 54, and snacks with a meal are 18 × 2 = 36 servings. For the whole party, see how to plan a kids birthday party and the planner and timeline.

Questions

How many pizzas do I need for a kids birthday party?
Count slices, then divide by 8, because this calculator assumes a large pizza has 8 slices. As our own planning estimate, this calculator plans 1 slice per child aged 1 to 3, 2 slices aged 4 to 6, 3 slices aged 7 to 9 and 3 slices aged 10 to 12, plus 2 slices per adult, then rounds up to a whole pizza. For 12 children aged 4 to 6 and 6 adults that is 12 × 2 + 6 × 2 = 36 slices, or 5 pizzas. Appetites vary, so treat it as a starting point.
What can I serve at a children’s party besides pizza?
Foods that are simple to portion work well, for example sandwiches cut into small pieces, a pasta bar, tacos, baked potatoes with toppings, or a snack table of fruit, vegetables, crackers and cheese. The calculator plans snack servings too, so you can use it for a party that is cake and snacks only. See the kids birthday party food ideas guide for menus by time of day.
How big a cake do I need?
It depends on how many people will have a slice. This tool counts every child and adult and plans small party-size slices. As planning estimates, an 8 inch round cake serves about 12, a 9 by 13 inch sheet cake about 20 and a half sheet about 40. Over 40 people it rounds up to more than one half sheet. If you would rather serve cupcakes, it plans 1 per person plus 10 percent spare, rounded up.
How much juice and water should I buy?
The tool plans hours plus one drinks per person, so a 2 hour party is 3 drinks each, split about half water and half juice or juice boxes. That is a rough estimate, not a rule. If the party is outdoors or active, you may want more water, so adjust up.
How do I handle food allergies?
Ask parents or guardians about allergies on the invitation, and label each food clearly at the party. This tool does not plan for allergies; it only counts amounts.
