How the plan is worked out

The checklist counts back from the party date using our suggested schedule: about 6 weeks out to set the date, place, budget and guest list; 4 weeks out to send invitations; 3 weeks out to plan the menu, order the cake and plan games and favors; 2 weeks out for the RSVP date; 10 days out to confirm the headcount and allergies; 1 week out to order food and buy favors; 3 days out to shop and print signs; the day before to set up; and 7 days after for thank-you notes. If a step’s date is before today, it is marked as already passed, so you can see what to do first.

The day-of timeline starts with set-up steps 90, 60 and 30 minutes before the start, then fits the party between the start and end times. Favors and goodbyes take 10 minutes, cake and singing 20, and food 30. Arrival takes 20 minutes. The time in between is split into game blocks sized by age, about 10 minutes at ages 1 to 3, 15 at ages 4 to 6 and 20 from age 7. Parties shorter than 90 minutes use shorter arrival, food and cake slots. All of these lengths are estimates, and children’s attention varies.

The order is arrival, game blocks, food, any remaining game blocks, cake, then favors and goodbyes. Food starts as late as it can while still starting no later than 90 minutes after the party starts, or at the midpoint of the party if that is earlier, so children are never made to wait through every game before they eat.

Worked example: a party from 2:00 PM to 4:00 PM for a 5-year-old is 120 minutes. The fixed parts are 20 + 30 + 20 + 10 = 80 minutes, which leaves 40 minutes for games. Blocks are 15 minutes at that age, so 40 ÷ 15 rounds down to 2 blocks, and the 40 minutes are split evenly into 20 each. The midpoint is 3:00, so both game blocks fit before food. The day runs: 2:00 arrival, 2:20 first game, 2:40 second game, 3:00 food, 3:30 cake, 3:50 favors and goodbyes, 4:00 end.

A longer example: a party from 2:00 PM to 6:00 PM for an 8-year-old is 240 minutes. The fixed parts are 80 minutes, which leaves 160 minutes for games, or 8 blocks of 20. Food must start by 3:30 (90 minutes in). Arrival plus 3 game blocks is 80 minutes, and a fourth block would pass 90, so food starts at 3:20. The remaining 5 game blocks run from 3:50 to 5:30, then cake at 5:30, favors at 5:50 and the end at 6:00. Questions

How far ahead should I plan a kids birthday party?
Our suggested schedule starts about 6 weeks before the party, with the date, place, budget and guest list, and sends invitations about 4 weeks out. That is a comfortable pace, not a rule, and a smaller party at home can be planned in less. If the date is closer than that, the tool marks the steps whose dates have already passed so you know what to do first.
How long should a kids birthday party last?
For young children, about 1.5 to 2 hours is our suggestion, not a rule. Longer parties need more planned activities. The tool accepts parties from 1 to 6 hours and builds the day-of timeline from your start and end times.
How are the day-of timeline times worked out?
The timeline gives each part a set length: favors and goodbyes take 10 minutes, cake and singing take 20 (15 for a party under 90 minutes), and food takes 30 (15 for a party under 90 minutes). Arrival takes 20 minutes, or 10 for a short party. Whatever time is left is split into game blocks sized by age: about 10 minutes for ages 1 to 3, 15 for ages 4 to 6 and 20 for ages 7 and up. Those lengths are our own estimates. Food comes after the first game blocks but starts no later than 90 minutes after the party starts, or at the midpoint of the party if that is earlier. Any game blocks left over go between food and cake, and favors come last.
What if my party is shorter than an hour?
The planner asks for at least 1 hour, because its shortest schedule uses 50 minutes for arrival, food, cake and goodbyes, leaving little else. For a short toddler party, skip the game blocks and let free play fill the time.
      Does it plan for allergies?
It adds checklist steps to ask parents about allergies on the invitation and to label food clearly. It does not give medical advice. Ask parents or guardians directly.
Does anything I type leave my device?
