The right invitation does two jobs: it makes people want to come, and it answers the questions that would otherwise arrive as twelve separate texts. This guide gives a checklist of what to include, ready-to-copy wording for the common kinds of Christmas party, and a few tips on timing and RSVPs. When you have the invitation sorted, the full plan is in how to host a Christmas party, and everything else is on the Christmas party hub.

What Every Invitation Needs

  1. The occasion. “Christmas party,” “ugly sweater party,” “cookie swap,” “holiday open house.”
  2. The date and the times. Start and end. An end time is kind to guests with a sitter or a long drive.
  3. The address. Plus parking, door codes or which buzzer to press.
  4. What kind of food. “Appetizers and drinks” or “dinner at 7” avoids guests arriving hungry or full.
  5. What to bring, if anything. A dish, a bottle, a gift for the exchange, nothing at all.
  6. The RSVP method and date. One way to reply, one deadline.
  7. Special details. A dress code, a gift exchange limit, a plus-one policy, or kids and pets.
  8. A diets and allergies question. One line is enough.

Put the date, time and place at the top. Guests scan, and the details that matter should not be buried below a poem.

Casual Text or Group Message

A text works for friends, and it is easy to send early.

Christmas party at our place! Saturday, December 12, 6 to 9 pm. Appetizers and drinks, no dinner. Bring a friend if you like. Please reply by December 5 and tell me about any food allergies. 14 Maple Lane, park on the street.

Shorter still: “Saving the date: our Christmas party is Saturday, December 12 at 6. Formal invite to follow.”

Printed Card or Email

Join us for a Christmas party Saturday, December 12, 2026, from 6 to 9 pm The Parker home, 18 Evergreen Lane Appetizers, drinks and cookies Please RSVP to Olivia by December 5 at olivia@example.com Let us know about any food allergies. We cannot wait to see you!

For a more formal tone, “request the pleasure of your company” works, and a warmer tone is just as good. Choose the voice that sounds like you.

Gift Exchange Invitation

The key is to name the exchange and the limit.

Secret Santa:

We are doing Secret Santa! Reply by December 1 to join the draw. The gift limit is $25 including tax. I will message each of you privately with your match, and gifts will be opened at the party on December 12.

White elephant:

Bring one wrapped gift worth up to $25 for a white elephant swap. You will draw a number, and the game is on at 7:30. Wrap it so nobody can tell what is inside, and expect some stealing.

Add the rules in a link or on a printed card. The free Secret Santa generator handles the draw and keeps couples apart, and the white elephant rules generator writes the rules card. Make sure guests know the gift is optional if you want them to feel comfortable not joining.

Ugly Sweater Party Invitation

Ugly sweaters required! The tackier, the better. Friday, December 18, 8 pm at Jess’s place. There will be prizes, so go big. No sweater? Wear your most festive top or grab a hat from the basket. RSVP to Jess by December 11.

If you are running a contest, say so, since it changes what guests wear. See ugly sweater party ideas for the rest.

Join us for a cookie swap! Bake two cookies for every guest, plus six for the sample table, and bring them in a container. You will leave with two of every variety. Saturday, December 5, 2 to 4 pm. Please tell us your recipe and any allergens when you RSVP.

The cookie exchange guide explains the numbers.

Work Party Invitation

A work invitation should be warm, professional and optional.

You are invited to our team holiday party! Friday, December 11, 4 to 6:30 pm in the break room. Light food, a mix of drinks including alcohol-free options, and a short gift exchange for anyone who would like to join (limit $15). Please RSVP by December 4. Partners are welcome.

Keep the tone inclusive: use “holiday party” if your group includes people who celebrate different things, and avoid pressure to attend or to drink. Say the end time, and plan the gift exchange as voluntary.

Potluck Version

Christmas potluck dinner at our house! Saturday, December 12, 5 pm. I am making the main dish, so please bring a side, a dessert or a drink. Reply with what you are bringing by December 5 so we do not end up with six pies, and tell me about any allergies.

Timing, RSVPs and Reminders

  • Send about three to four weeks ahead. If the date is a busy weekend, a text to hold it can go out earlier.
  • RSVP date: about a week before the party, so you can confirm the headcount and shop.
  • One reminder: a short message two or three days before with the address, the time and what to bring.
  • Chase missing replies yourself, kindly and once.
  • Late additions: welcome, but give them a clear message about any gift exchange that has already been drawn.

Wording Tips

  • Use plain words. “Please bring a dessert to share” beats a rhyme.
  • Keep one message per invitation. A date plus a poll plus a link is three jobs.
  • Be specific about the end time. “Until 9” keeps the party from fading.
  • Add warmth last. A single line like “We would love to see you” does more than three exclamation marks.
  • Check it twice. Proofread the date, the day of the week and the address before you send.

The printable suites include an editable invitation with a gift exchange insert, so you type the details once and the invitation, signs and place cards update to match. A good invitation, though, is mostly a few clear lines, and the examples above are yours to use.

Frequently asked questions

What should a Christmas party invitation say?
The date, the start and end time, the address and any parking or door notes, what kind of party it is and what to bring, how to RSVP and by when, and anything that shapes the evening such as a dress code or a gift exchange with a price limit. A line asking about diets and allergies saves trouble later. Keep it short and put the key facts where the eye lands first.
How far in advance should I send Christmas party invitations?
About three to four weeks ahead is a comfortable starting point, earlier if guests will travel or if the party is on a busy weekend. A save-the-date text a few weeks before the formal invitation helps hold the date. Set an RSVP date about a week before the party so you can confirm the headcount.
How do I word a gift exchange invitation?
Name the type of exchange, the price limit and the rule for what to bring. For Secret Santa, say you will send each person their match. For white elephant, say to bring one wrapped, gender-neutral gift up to the limit. Include a date by which people must confirm they are joining the exchange, because the draw cannot start until you know who is in.
How do I word an ugly sweater party invitation?
Say plainly that ugly sweaters are required, mention any contest and prizes, and add a line for guests who have no sweater, such as a festive top or a hat from a basket. Humor is welcome, but keep the practical details, date, time and address, clear and easy to find.
How do I invite coworkers to a Christmas party without pressure?
Make attendance optional, keep the tone warm and professional and be inclusive: say that guests of all backgrounds are welcome, give an end time and offer alcohol-free options. Avoid wording that implies attendance affects anyone's standing, and keep any gift exchange voluntary with a modest limit.
Should I put a gift limit on the invitation?
Yes, if there is a gift exchange. A limit on the invitation lets guests budget, keeps the exchange fair and avoids awkwardness at the door. Say whether it includes tax and whether handmade gifts are welcome.
