Alcohol is for adults of legal drinking age only. The plan assumes guests who drink alternate with water, soda, cocoa or cider, so at least half of all drinks come out alcohol-free.

How the numbers are worked out
All of these are our own planning estimates, not rules from any standard. Appetizers, per guest: with a sit-down dinner, 5 pieces in the first hour and 2 more for each extra hour. Without dinner in the evening, 6 pieces in the first hour and 4 for each extra hour. Without dinner in the afternoon, 5 in the first hour and 3 for each extra hour. Desserts and cookies, per guest: 2 pieces with dinner, 4 without dinner in the afternoon and 3 without dinner in the evening.
Drinks: guests times hours times your drinks per hour, which the tool will not let you set above 2. Guests who have alcohol are assumed to alternate, so alcohol servings are the total drinks times the share having alcohol times one half, and everything else is alcohol-free. A wine bottle counts as 5 servings. Ice is 1 pound per guest in 10 pound bags. Small plates are 2 per guest, plus 1 more per guest if dinner is served, and napkins are 2 plus 1 per hour for each guest, both with 10 percent spare, rounded up.
Worked example: 20 guests, 3 hours, evening, no dinner, 1 drink per hour and half the guests having alcohol. Appetizers are 6 + 4 × 2 = 14 pieces per guest, so 280. Desserts are 3 × 20 = 60. Drinks are 20 × 3 × 1 = 60, of which 60 × 0.5 × 0.5 = 15 are alcohol and 45 are alcohol-free. Ice is 20 pounds, which is 2 bags. Questions
- How much food do I need for a Christmas party?
- It depends on whether dinner is served and how long the party runs. This calculator uses our own planning estimates: with a sit-down dinner, about 5 appetizer pieces per guest in the first hour and 2 more for each extra hour. Without dinner, appetizers are the meal, so it plans 6 pieces in the first hour and 4 per extra hour in the evening, or 3 per extra hour in the afternoon. They are starting points to adjust, not rules.
- How many drinks should I plan per guest?
- The tool defaults to 1 drink per guest per hour and will not go above 2. The share of guests who will have alcohol is your input, and the tool assumes those guests alternate: half of their drinks are alcohol and half are water, soda, cocoa or cider. That keeps alcohol to at most 1 serving per drinking guest per hour and at least half of all drinks alcohol-free.
- What counts as a serving of alcohol?
- This tool counts a 5 fluid ounce glass of wine as one serving and a 750 ml bottle of wine as 5 servings. Beer and cocktails are counted in single drinks the same way. If you pour larger glasses, plan for fewer servings per bottle.
- Which appetizers suit a Christmas party?
- Choose a mix: a few that can sit out at room temperature, such as cheese and crackers or a dip with vegetables, one or two that are served warm, and at least one vegetarian option. Cold finger foods are easy for a host because they can be set out before guests arrive. The calculator gives pieces, so one tray of 24 mini quiches counts as 24.
- How much ice do I need in winter?
- The tool plans 1 pound of ice per guest and sells it in 10 pound bags, as a rough estimate for cold drinks. If most of your drinks are hot cocoa, cider or coffee, or if you have a cold porch to chill bottles, you may need less. Check your freezer space first.
- Does anything I type leave my device?
- No. The math runs in your browser and nothing is stored or sent anywhere.
