    What to plan for

How the quantities are worked out

Every line is the guest count times a per-guest rule, adjusted by two multipliers. The time of day scales the food: an afternoon shower uses 0.75 times the food, a dinner shower 1.25 times, and brunch or lunch 1.0. Brunch and afternoon showers also lift the sweets to 1.25 times, because pastries and tea-time treats go first. The length scales appetizers and sweets, the things people graze on: 0.85 for 2 hours, 1.0 for 3 hours, 1.15 for 4 hours. Main and side servings are set by the meal itself, so length does not change them.

    Every result is rounded up to a whole number. For example, 30 guests at a 3 hour lunch with a full meal gives 30 × 3 = 90 appetizer pieces, 30 main servings, 60 side servings, 30 × 1.5 = 45 sweets and 30 cake slices. For a 2 hour version, the appetizers become 30 × 3 × 0.85 = 76.5, rounded up to 77.

    Drinks, ice and tableware

Drinks use one and a half 8 oz servings per guest for the first hour and one more per hour after that. Ice is one pound per guest, a starting point if drinks are served over ice; plan more if you are also chilling bottles in a cooler. Plates, napkins and cups include a 10 percent spare, because guests drop things and a few people always want a second plate. A full meal uses two plates per guest (one for the meal, one for dessert), and four napkins per guest.

    What this does not know

It cannot know your guests' appetites, dietary needs or how much your menu fills people up. A heavy dish like baked pasta goes further than a plate of dainty finger sandwiches, so you may need fewer side servings with a heavier main. Treat the numbers as a first draft for your shopping list and for a caterer's quote, and check with anyone you are buying from. The budget calculator shows what that food will cost against your total.

    Questions

How much food do I need for a baby shower?
For a shower with a full meal, a common planning rule is about 3 appetizer pieces, one main serving, two side servings and one to two sweets per guest, plus a slice of cake each. The calculator starts from those figures and adjusts them for the time of day, how long the shower runs and what you are serving. They are planning estimates, not a guarantee, so round up if you are unsure.
How much food for a baby shower with 50 people (or 40, or 20)?
Type the guest count in and read the quantities. The numbers scale in a straight line with guests, so 50 guests need exactly twice the food of 25. If you are serving a full lunch at a 3 hour shower, that is about 150 appetizer pieces, 50 main servings and 100 side servings for 50 people before any cushion.
How much food for an afternoon baby shower?
Guests arrive after lunch and before dinner, so this calculator trims the food quantities by a quarter for an afternoon start and adds a little to the sweets, since tea-time sweets disappear faster. If your afternoon shower runs through dinner time, choose Dinner instead.
Should I plan for guests who do not eat, or for seconds?
The rules assume most guests eat a normal amount. Some will skip a course and some will take seconds, and this roughly cancels out at a typical shower. If you are feeding a group you know eats a lot, or a lot of guests are bringing children, add a cushion of 10 to 15 percent to the food. Disposables already include a 10 percent spare.
    How many drinks per guest?
The rule used here is one and a half 8 oz servings in the first hour and one more per hour after that, so 3.5 servings per guest for a 3 hour shower. That is across everything: water, punch, coffee or tea. Stock water as well as a drink with some flavor, because plain water is what many guests reach for.

No. It runs entirely in your browser. Nothing is stored or sent anywhere.
